The KLZ consultants are reviewing all the collaboration sites on the KLZ at the moment. A current site has spawned a new idea. If your school has a weather station which has a publicly available website front end then let us know about it! We will collate all the data across the County and plot them all on a map or something. This could then be a really useful resource to compare weather across the County.
Please email the KLZ consultants (consultants@klz.org.uk) with your contact name, school name, postocde and website link to be added to the list of sites.
We'll blog again to let you know how many schools we get and where you can get at the data. If there is a Geography teacher that would like to get involved in the construction and content of this site then please get in touch with us.

Just a quick update on Exchange 2010 Segregation from Microsoft

Every few weeks or so we get a message from Schools asking for an update on when the Address List / Global Address List / GAL will be segregated for each school.Unfortunately the issue is related to software and not a KLZ feature. On KLZ we use Exchange 2010 for e-mail.
This software does not support Address List Segregation, i.e. a separate Address List for each school on KLZ, instead of one big Global Address List (GAL.)
We have implemented a temporary fix in OWA 2010 but this fix does not apply to the Outlook Client.
The last message from Microsoft was in May http://blogs.msdn.com/b/dgoldman/archive/2010/05/10/critical-update-exchange-2010-address-list-segregation-and-current-support-stances.aspx Since Exchange 2010 SP1 was released last week there has been no update, the only thing we have seen is from the Exchange Blog:
“Status has not changed we are still looking at this issue and will have more info on this in a later post, but no SP1 does not address addressed list segregation the support statement is the same. “
Can I please stress that this is not a KLZ limitation but a wider problem for all Exchange 2010 Administrators that have multiple customers on one organization - they are all affected by this lack of functionality. When planning on moving to Exchange 2010 back in February 2010 we were given assurances from Microsoft that the White Paper to achieve segregation was imminent, which is obviously not the case anymore. We have raised the issue at numerous account meetings but we still have no progress.EIS / KLZ can only apologise for this inconvenience and we will make the implementation a priority when and if the White Paper is released.

There is an important update to all users of the iPhone 4 Operating System who sync mail on the KLZ. You may have recently purchased a new iPhone 4 phone or have updated your 3G or 3GS product using Software Update in iTunes.
The new software version may cause problems syncing your mail, contacts or calendars.

We have enabled a new feature for all schools using Outlook 2007 SP2 or 2010 Beta on the KLZ.
The feature is called AutoDiscover and makes configuring Outlook a whole lot easier. In a matter of seconds you can get Outlook up and running. All you need to do is enter your name, e-mail address and password, then log on to the server.
Here are a few screen shots on how to configure it!
Create a new Profile

Click Next

Select "Don't ask me about this website again" and click Allow.

Enter the domain, KLZ then your username and password here.

And that's it! Simple really!!!!!

With the recent news that many e-mail account providers have suffered security breaches due to phishing scams, all KLZ users need to make sure that they are not a victim of phishing.
Phishing, to describe it simply, is where someone tries to trick you in to giving them your username and password for an online account, whether it be your KLZ account or Bank Account. This usually comes in the form of an e-mail which asks you to re-enter your details for security purposes.
Whilst we have no recorded attempts of phishing on the KLZ, it is wise to remind you that we are all at risk from these fraudsters!
EIS will not ask you for your username and or password via an unsolicited e-mail. We will never ask you to confirm your details via e-mail. We recommend you do not use e-mail to send information on username and passwords as e-mail is not a secure form of communication. The KLZ does use encrypted traffic for all communication (https 128bit encryption) but once the mail has left the KLZ organisation it is open to interception.
We do also implement the latest mail scanning technologies with the KPSN Cisco IronPort Mail Relay, Microsoft Forefront for Microsoft Exchange Server and Microsoft Exchange 2007 Hub and Transport Rules. We do try and make sure these technologies make every effort to block mail that is not suitable, but ineveitably some mails get through and are designed to evade such protection in place.
If you have any doubts about any mail in your account please contact us for advice.
The best advice would be, if in doubt, don't do it!

We are pleased to announce that we have successfully integrated the Fronter SharePoint Web Parts into the KLZ.
We are currently testing them with a couple of schools. More information and screen shots will come soon!

Apple have recently released the latest update to Mac OS - OS 10.6 Snow Leopard.
We have tested the Mail program on KLZ E-Mail / Exchange 2007 and it works very well. The software isn't as pretty as Entourage or Outlook though!
The big benefit of this is that you do not need to purchase extra software to run KLZ E-Mail on a Mac.

On Wednesday 19th August, EDF have informed us that they are upgrading the power station local to EIS offices at Oxford Road, Maidstone. This will result in a loss of power to the site for the whole day.
KLZ is amongst the essential services which will be maintained via generator power supplied by EIS. However we are considering this day to be a period of risk and there could be potential for some disruption to the KLZ service.

As you are probably aware, we do not support Blackberry on the KLZ. The reason for this is down to cost. The subscription price does not include the costs associated with running a Blackberry Enterprise Server, licencing, managing it etc.
We support and actively promote the use of Exchange Active Sync (EAS) which is supported by Windows Mobile 6 devices, iPhone 3G & 3GS and most recent high end Nokia and Sony Ericsson mobile phones. We have a number of users happily using the KLZ on iPhone 3G with version 3 software.
However, if you do already have a Blackberry and wish to sync it with the KLZ, there are 2 pieces of software which can now sync to an Exchange server.
I'm afraid we cannot support this software in any way, but you may want to consider downloading the trial versions of AstraSync http://www.astrasync.com/ or NotifySync http://www.notifysync.co.uk/ and evaluate them. There is a cost associated if you wish to carry on after the trial.

Happy Birthday KLZ!
2 years ago today KLZ went live on the Internet! In that time we have processed thousands and thousands of e-mails and SharePoint documents. We have 177 schools using e-mail and 310 School SharePoint sites.

To find out how much space you are using in OWA simply hover over your Mailbox name on the left hand column!

If you have synced a mobile device such as an iPhone or HTC to KLZ E-Mail then you can manage it in your OWA settings.
Click Options in OWA and then Mobile Devices on the left hand bar.
Why Manage Your Device ?

The most important thing you can do from these settings is wipe your device. If you lose your device you can send a remote signal to wipe the data when it next connects to the internet. This option should obviously only be used when you know you have lost the device as it is data destructive. This option does not render the device wiped, just the data, so think of it as a factory reset.

Display a recovery password if you have forgotten your PIN.

Check the status of your device for troubleshooting purposes.

Remove devices you no longer use (this does not remove data from the device.)

So you have your KLZ E-Mail working nicely on your iPhone but you need to secure your device, incase you lose it, it is stolen or even someone wants to take a look at your device when you have left it on the side...
By default we do not enforce any security policies on your devices as they belong to you, but we can set up policies centrally for your school if you wish.
To enforce an auto lock and PIN number on the iPhone follow these simple steps.
Press Settings and then General

Press Auto-Lock and change it from Never to about 2 or 3 minutes.

This means the device will lock automatically after 2 minutes, or whetever time you define, of inactivity.
Now back at the General screen press Passcode Lock and enter a 4 digit PIN

You'll be asked again to verify it.
Now here are the settings to tweak the passcode.

It may seem a little annoying to enter this PIN most times you want to use the iPhone but it is important for the security of your e-mail and data.
The PIN settings do not interfere with receiving calls.

How to get your KLZ E-Mail on an iPhone...
Press the mail icon and you will see the screen blelow, press Microsoft Exchange.

And on the next screen enter your details

The domain is KLZ
When you have entered all your information press next and the following screen will load

In the server field type in portal.klz.org.uk and press next.
If you entered all the information in correctly the next screen will ask you what information you wish to sync.

Once you have selected what you wish to sync press Done and your mail should start download.
The default mail which the iPhone syncs is 3 Days. This can be changed under Settings > Mail, Contacts, Calendars > Accounts
We recommend you set a auto-lock for security reasons. More details on this to follow.

Just a quick note before the well earned long Easter break! We are currently working on fulfilling some prerequisites from Capita on getting the first stage of the SIMS Web Parts integrated on the system. These editions include software such as Microsoft Office Communicator 2007 R2 which is used on the KLZ for Instant Messaging and also Microsoft Office InfoPath 2007 whuch handily creates forms. Microsoft Office Groove 2007 is included in the Enterprise version (amongst other stuff). These extra programs are hoping to be utilised on the KLZ later on in the year.

I thought it would be a good time to repost on what technology KLZ supports for mobile e-mail.
The KLZ supports mobile devices on the KLZ which have Exchange ActiveSync (EAS) software. These are for example (but not the full list) Apple iPhone 3G, Sony Ericsson C902, Z750, all Windows Mobile Devices which are version 5 (aku2) and above, which include the HTC Touch Diamond2, Touch HD, Touch etc Nokia phones have their own "Mail for Exchange" product which is provided with most recent handsets such as the N80 and N95.
Unfortunately Blackberry devices are not currently supported. They require extra software licences and hardware which is not included in the KLZ subscription price.
If you do decide to explore the world of mobile e-mail, we recommend that you obtain a generous data plan from your network operator. Tariffs such as the unlimited iPhone contract are ideal for someone wishing to have a rich mobile internet experience. Other operators offer unlimited tariffs so please check before you commit.

A common question asked is "how do I delete a Contacts folder I have created, in OWA?"
Here is how to do it:
This screenshot is of your folder you wish to delete, for this example, it is called New Contacts Folder.

Now click back to the main OWA page by clicking the Mail tab and do a refresh of the page by either pressing F5 or the refresh button on your browser.
You will now see a "plus" sign next to your Contacts folder.

Expand the "plus" to see the New Contacts Folder.

Now right click on New Contacts Folder and select delete.

And that's it!

Due to customer demand we have removed the Public Folders Tab in OWA. This Tab was there for legacy purposes, so that Outlook 2003 Clients can connect to a Microsoft Exchange 2007 SP1 system. We have hidden it in OWA but it still exists in Outlook though (by design.) Public folders aren't used on the KLZ as we have a SharePoint system for collaboration

As part of the recent KLZ upgrades, the instant messaging software was changed to Microsoft Office Communications Server 2007.
This new service no longer works with the old Office Communicator 2005 client software for LCS (Live Communications Server) and therefore requires a new client, Microsoft Office Communicator 2007.If you have purchased Office 2007 Professional Plus or Enterprise under a Select or School Agreement, then the software is included. After installing open up the software and click the down arrow on the menu bar.

Click Tools and then Options.
In the Sign-in address: section enter your username@klz.org.uk and click Advance.

Ensure Automatic configuration is selected.
Click OK twice and then click sign in.

After installing, open the software on your Windows Mobile device.
You will notice a new presence icon on the Today screen.Select Options and under the Account Tab enter the following:

Internal server name: im.klz.org.uk:443
Connect using: TLS
Select OK and then Sign In!
This works with Windows Mobile 6 and above.

You may know that KLZ offers e-mail on a variety of mobile phones / smart phones with the Active Sync client, such as Apple iPhone 3G, Sony Ericsson 902, and all Windows Powered Smartphones version 5 AKU 2 and 6 +.
However, did you know that you can view a basic version of your KLZ school site on a mobile phone with a web browser? You don't even need a Microsoft device!
Simply enter the URL https://portal.klz.org.uk/schoolsites/YOURDCSF/m and you will get a simplified view of your site.

EIS recommend you add the KLZ URL https://portal.klz.org.uk to the Trusted Sites in your Web Browser. This trusts the website and does (should?!) not give you any authentication problems when opening documents or attachments etc.
If you use Active Directory or RM Community Connect then it may be worth creating a group policy to send this to your clients.
We also recommend you use Microsoft Internet Explorer 7 for the KLZ; however Internet Explorer 6 SP2 is supported.

We are pleased to announce that we successfully upgraded our Exchange 2007 Client Access Servers to Service Pack 1 at the weekend.
This upgrade gives benefits to users in the form of Personal Distribution Lists, mail rules, monthly views in the calendar, the ability to open Word, Excel and PowerPoint 2007 files as a webpage (this is cool!) and a few other minor things.
We will be upgrading the Mailbox servers in the coming weeks which will give us extra management functionality.
